01 / Before you compare

Buy the workflow, not the label

The direct advice first. When you evaluate AI estimating software, ignore the word AI and ask two questions of every feature. Which engine does this, exact calculation or a model making a suggestion? And can I see where this number came from? Products that answer both plainly tend to survive contact with real plan sets. Products that answer with adjectives tend not to.

The parts of it that are measurement and arithmetic should be deterministic, repeatable and auditable, and the parts where a model helps, coding lines, learning your vocabulary, should arrive as visible suggestions you confirm. Six capabilities worth paying for

These separate tools that compress estimating hours from tools that relocate them. Every one is testable in a trial.

Deterministic measurement

The takeoff should be exact geometry, repeatable on the same drawing, reading the printed dimensions rather than inferring them. If the vendor cannot say how measurement works, assume you will be checking every number.

Your rates, not a black box

Pricing should run on your own cost database and assemblies, visible and editable. Generic rate libraries produce generic prices, and a price you cannot decompose is a price you cannot defend.

Suggestions you can see and refuse

Where a model suggests anything, a cost code, a match, a draft, the suggestion should be visibly a candidate, one click from its source, and easy to correct. Silent automation into your numbers is a defect, not a feature.

Corrections that stick

Fix a miscoded line once and the same line should code correctly next time, learned privately for your business. Without a learning loop you have bought a permanent proofreading job.

Quantities that flow onward

An estimate that dead-ends in the estimating tool gets rebuilt by hand as a budget, then again as purchase orders. Look for one set of numbers flowing from takeoff to estimate to budget to PO.

Performance on your worst plans

Large, messy, revision-marked plan sets are where tools choke. Trial on your own drawings, on the hardware you actually use, before believing any demonstration.

03 / Ask the provider

Five questions that make a vendor show their working

These are fair questions for any provider, including us. A vendor comfortable answering all five on a live screen, on your documents, is telling you as much as the answers do.

  • Which parts of your estimating are deterministic and which use a model? A credible provider can label every feature. Hand-waving here predicts hand-waving in support.
  • Show me where this quantity came from. Pick a number in the demo estimate and ask to see the measurement on the drawing behind it, live.
  • What happens when it codes a line wrongly? Watch the correction. Then ask whether the same line codes correctly next time, and where that learning is stored.
  • Whose rates price the estimate, and how do they stay current? If the answer is a generic library, ask what keeps it honest against the invoices you actually pay.
  • What happens to the estimate when I win the job? If the budget is a re-key, the product ends where your cost control begins.

04 / Honest limits

What most products cannot do, whatever the site says

Category-wide limits. A provider who names them is describing the product, one who denies them is describing the demo.

Scope still needs reading

No product reliably turns a specification and a set of drawings into a complete scope. Missed inclusions remain the estimator’s risk to manage, whatever the marketing implies.

Rates go stale on their own

Software cannot know a supplier lifted prices last month unless something feeds it, invoice actuals, updated price files or your corrections. Budget the discipline, not just the licence.

Symbol counting is oversold

Claims about automatically counting symbols, fittings or fixtures across a plan set deserve heavy scepticism and a live test on your own drawings. Treat counts as human-verified work.

Judgement is not a feature

Allowances, margin, risk pricing and subcontractor selection are decisions. Any product implying it makes them for you is describing a demo, not a Tuesday.

Cut the keying time, by flowing quantities into a priced estimate against your own rates and assemblies without re-entry. And cut the coding time, by suggesting cost codes for unfamiliar lines and learning from your corrections. If a product cannot show those three on your own drawings in a trial, the AI label is doing the selling.

The market spans roughly free tiers to several hundred dollars per user per month, with some platforms charging estimating as an add-on module on top of a base subscription. Price the workflow, not the licence. A tool that saves six hours of takeoff per quote pays for itself quickly, and one that dead-ends the estimate so the budget is rebuilt by hand gives the savings straight back.
